Email Notifications
Email notifications can be sent automatically when invoices are paid in full or in part, or as a reminder before or after an invoice is due.
To do this, email templates can be defined under “QR-Bill > Email templates”, which can then be assigned to the corresponding events under “QR-Bill > Settings > Emails”.
1. Create template(s)
Email templates can be created under “QR-Bill > Email templates”. A template can be used for multiple events.
In the “Additional recipient(s)” field, you can optionally enter multiple email addresses separated by a semicolon (;) to which emails using this template should always be sent.
If the “Use WooCommerce email template and styles” checkbox is activated, the layout of WooCommerce emails is used. The content of the “Heading” field is then displayed accordingly in the title area of the WooCommerce email.
The content of the email can be specified under “Message”. Tags can be used to dynamically insert content.
2. Define email events
Under “QR-Bill > Settings > Emails” the templates defined under “QR-Bill > Email Templates” (Step 1) can be selected and assigned to events.
Notification emails can be set up to send to customers and the website administrator.
Emails can be sent for each payment received, when an invoice is paid in full, or as reminder emails for upcoming or past payment deadlines.
Reminder emails
In order for reminder emails to be sent, invoices must have a payment deadline. This can be set under “QR-Bill > Settings > Payment term”.
For each reminder email, you can define when it should be sent relative to the payment deadline (in number of days). If a positive number is entered in the corresponding field, the email will be sent that many days after a payment deadline has passed. If the numbers are negative, the email will be sent the entered number of days before a payment deadline.
The randomly assigned ID can be changed, but please note that changing it may cause emails that have already been sent for this template to be sent again. The emails that have already been sent for an invoice can be viewed for the individual invoice (QR-Bill > Bills > [Edit bill]).
